Director-Mentoring
Overview:

Detailed Position Activities:

The Director of Mentoring is responsible for the day to day operations of the Chicagoland chapter’s mentoring program. A summary of responsibilities is as follows:

• Provides committee activity reports to PMI Chicagoland Chapter Mentoring Program Board Sponsor (2003 and 2004) – VP of Education (end of 2004) including:
o Program participant list with contact information
o Report on participant orientation
o Expense reports for approval
o Program evaluation report
• Responsibilities as documented in the Operational PMI Chicagoland Chapter Mentoring Program Charter and volunteer responsibility document.

• Formal screening and recommendation of committee volunteers

• Administration of all mentoring paperwork
o Program volunteer tracking
o Program participant tracking
o Participant contact/matching
o Participant orientation – inform the PMI Chicagoland Chapter Mentoring Program Board Sponsor (2003 and 2004) – VP of Education (end of 2004) of meeting plans, etc.
• Program evaluation
Activities performed month to month:



The complete month by month process breakdown is as follows:

January activities
• Mentoring Coordinator reviews May group=s survey results and determines what adjustments if any need to made to the program.
• January 1 - Mentoring Coordinator sends 2 month evaluation to October group.
• First week - Mentoring Coordinator sends newsletter reminder to VP Publicity to appear in February issue to inform members of the next mentoring cycle that begins in April.
• By first week in January - Receive completed Mentee and Mentor Applications along with mentee resumes.
• January 15 - Mentoring Coordinator/Committee receives 2 month evaluation from October group and reviews evaluation until February 15.
• January 1 - 25 - Mentoring Committee meets at January meeting to pair up mentees with mentors.
• January 31 - Mentees and Mentors are informed by mentoring coordinator via email of the pairings and invited to the February meeting/Saturday after meeting for orientation and mentor training.
February activities
• February 15 - Mentoring Coordinator/Committee completes review of 2 month evaluation from October group.
• February 15 - end of February - sever October group matches, if necessary.
March Activities
• Entire month - Mentoring Coordinator/Committee reviews survey results and determines what adjustments if any need to made to the program.
• Prospective Mentees and Mentors complete registration forms for the session beginning in June and send to mentoring coordinator.
April Activities
• By the first week in April - Mentoring Coordinator receives June group completed Mentee and Mentor Applications along with mentee resumes.
• April 1 - 25 - Mentoring Committee meets at April meeting to pair up June group Mentees with Mentors.
• April 30 - June group Mentees and Mentors are informed by mentoring coordinator via email of the pairings and invited to the May meeting/Saturday meeting for orientation and mentor training.
• Entire month - Mentoring Coordinator/Committee reviews survey results and determines what adjustments if any need to made to the program.
May Activities
• May 1 - Mentoring Coordinator sends 2 month evaluation to March group and program evaluation to October group.

August Activities
• August 1 - Mentoring Coordinator sends 2 month evaluation to June group.
• August 15 - Mentoring Coordinator/Committee receives 2 month evaluation from June group and reviews evaluation until September 15.
• Entire month - Mentoring Coordinator/Committee reviews survey results and determines what adjustments if any need to made to the program.
• Prospective Mentees and Mentors complete registration forms for the session beginning in November and send to mentoring coordinator.
September Activities
• September 1 - March group end. Mentoring Coordinator sends program evaluation to March group.
• September 15 - Mentoring Coordinator/Committee receives program evaluation from March group.
• September 15 - Mentoring Coordinator/Committee completes 2 month evaluation review from June group.
• September 15 - end of September - sever June group matches, if necessary.
• By the first week in September - Mentoring Coordinator receives November group completed Mentee and Mentor Applications along with mentee resumes.
• September 1 - 25 - Mentoring Committee meets at September meeting to review completed applications and to pair up mentees with mentors.
• September 30 - November group Mentees and Mentors are informed by mentoring coordinator via email of the pairings and invited to the October meeting for orientation and mentor training.
• Entire month - Mentoring Coordinator/Committee reviews survey results and determines what adjustments if any need to made to the program.
October Activities
• Entire month - Mentoring Coordinator/Committee reviews survey results and determines what adjustments if any need to made to the program.
November Activities
• First week - Mentoring Coordinator sends newsletter reminder to VP Publicity to appear in December issue to inform members of the next mentoring cycle that begins in March.
• Entire month - Mentoring Coordinator/Committee reviews survey results and determines what adjustments if any need to made to the program.
December Activities
• December 1 - June group end. Mentoring Coordinator sends program evaluation to June group.
• December 15 - Mentoring Coordinator/Committee receives program evaluation from June group.
• Prospective Mentees and Mentors complete registration forms for the session beginning in March and send to Mentoring Coordinator

You will receive an acknowledgement that your application information sheet and resume were received. The nomination committee will follow-up with candidates during the month of April and May to discuss qualifications and interest.

Each volunteer is expected to serve for 12 months and sign the Volunteer Agreement. Click here to link to the Volunteer Agreement currently used by the chapter.
